What does a transaction coordinator do?
A Transaction Coordinator (TC) manages the paperwork, timelines, and communication in a real estate transaction so everything stays organized and on track. We open escrow, request title reports through the proper parties, organize documents, track deadlines, and keep everyone updated from contract to close.
Do you communicate with everyone involved?
Yes. We act as a central point of communication, reaching out to agents, escrow/title, lenders, and other parties to collect missing documents and information, and to help keep the transaction moving forward smoothly.
Can you help explain the process to clients?
Absolutely. We can walk clients through the general transaction process, key milestones, and what to expect next, so they feel supported and informed throughout the deal.
Can you help with inspections or utilities?
Yes. As part of our coordination, we can assist with administrative tasks like scheduling inspections and appraisals, helping with utility transfers, and tracking key dates to keep everything on schedule.
Do you handle creative finance transactions?
Yes. We can help organize and coordinate creative finance deals (such as wraps, novations, or other structured transactions) by keeping documents, communication, and timelines organized and by helping with post-close transfers and servicing setup when needed.
How do you keep transactions on track?
We monitor key deadlines, follow up on missing items, communicate proactively with all parties, and escalate potential roadblocks to you when needed so issues are caught early, not at the closing table.
Do you draft contracts?
No. Drafting purchase and sale agreements, lending documents, or partnership agreements is the job of the real estate agent or attorney, not the Transaction Coordinator. We can help organize and review documents for completeness, but we do not create legal documents.
Do you give legal or tax advice?
No. We do not provide legal or tax advice. Questions about contract structure, legal protections, or tax implications should be directed to an attorney or tax professional.
Do you hold escrow funds?
No. We never collect or hold escrow deposits or client funds. That responsibility belongs to escrow/title or attorneys, depending on your state and transaction type.
Can you clear title issues?
We can request title reports and help coordinate communication about title issues, but we do not officially order title, clear title defects, or issue title insurance policies. Those tasks belong to the title/escrow company and/or attorney.
